Meeting Room Rentals

Our meeting room policies and regulations have changed in order to prioritize public meeting room space for open community learning and dialogue, while also providing access opportunities for local commercial and non-profit organizations conducting business or closed meetings in the Library space.

Changes include:

• Separate fees will be charged to commercial (for-profit) and non-profit organizations. Non-profit organizations will receive a discounted rental rate for all bookings.

• Non-profit groups may request one fee waiver per month, if their meeting meets certain conditions

• Commercial businesses, classes, private events, fundraising events, and programs where a fee or donation is required for entry or participation may not request a fee waiver

• Room bookings may be requested outside of regular opening hours (fees will apply)

• The two-bookings-per-month limit has been removed – additional bookings are welcome. Ongoing classes or workshop series (e.g. weekly sessions) require special approval

• Room setup will be available as an added service, for an additional fee

Any rentals that have currently been accepted in our system will be grandfathered under the current room booking regulations. See our room descriptions.

 Food and drink may be served while using the meeting rooms. Please limit to cold foods (sandwiches, fruit/vegetable trays, etc.) as the smell of hot foods can disturb other library customers.

Commercial Room Rentals

  • Commercial organizations are defined as all organizations and individuals that do not meet the non-profit criteria, including private groups.

  • Tri-Cities Chamber of Commerce members receive 25% discount on room rentals. Mention TC Chamber or #shopchamber in the notes field of the application to receive the discount

Non-profit Room Rentals

Non-profit organizations must meet the following conditions to qualify for the reduced rate:

  • Exist for charitable, educational, cultural or civic purposes
  • Be based in the Tri-Cities, or primarily serve the Tri-Cities community
  • Must not require a donation or fees for participation in or attendance at the program

Non-profit groups may apply to have one meeting room rental fee waived per month with the following conditions:

  • The organization must meet the criteria for non-profit groups as per the above
  • The meeting or event must be of a civic, educational, cultural or social nature
  • The meeting or event must be free – no fundraising, donations or fees for admission/participation shall be collected. Sales presentations and solicitations for business purposes are not permitted.
  • The meeting or event must be open to the general public, and cannot be restricted to the membership of the group. A member of the public that sees the meeting taking place may enter and participate. Exceptions to this requirement may be granted, at the Library’s discretion.
  • Organizations must apply for a fee waiver at least 7 business days in advance of their booking.The Library will collect sufficient information at time of booking to determine the status of a rental.
